Saugus Band Parents Association Guidebook (2024)
The Saugus Band Parents Association is a registered 501(c)(3) charitable organization with the State of Massachusetts. Our mission is to provide support and promote music enthusiasm to the Saugus Public Schools’ Bands and Band Groups through volunteerism, advocacy, fundraising, recognition, scholarship opportunities, and donations.
Administrative
Government
As the Saugus Band Parents Association (SBPA) is a charitable organization, it requires a level of organization within Massachusetts. At least four individuals need to be recognized as executive committee members, with the suggested structure being:
- President
- Vice President
- Treasurer
- Clerk
- Directors (as needed)
Required Annual Filings
Several government forms must be filled out and submitted online each year, including:
- Massachusetts Annual Report: Due by November 1. Filing fee: $15.
- Massachusetts Form PC: Required for all public charities. Filing fee: $35.
- Certificate of Change of Directors or Officers: Required when executive committee members change.
- Federal Government Form 1099-N: Required annually (no fee).
Social Media & Online Presence
The SBPA manages a Facebook page (“Saugus Band Parents Association”) and a private Facebook group (“Saugus Band Parents”) for discussions and updates. The SBPA also has a Google account used for email and storing important documents in Google Drive.
Financial Accounts
- Eastern Bank: Maintains business checking and savings accounts.
- Venmo: Used for donations and merchandise payments.
- Post Office Box: Rented for official mail.
Fundraising
Founders Day
An annual event held on the second Saturday of September. The SBPA sets up booths for selling merchandise and hosting the “Bail for Jail” fundraiser. This event typically raises $750 – $1,000.
Raffle Calendar
A highly successful fundraiser where students sell raffle calendars for $10 each. Prizes are donated by local businesses. This event has raised approximately $5,000 per year.
Car Wash
The SBPA organizes car washes with student volunteers. Each car wash can generate nearly $1,000.

Concerts & Events
The SBPA participates in winter and spring concerts, setting up booths to sell merchandise and snacks, typically raising a few hundred dollars per event.
Scholarship Program
A $1,000 scholarship is awarded to a Senior band member pursuing college education. Applications include an essay and letter of recommendation.
Support & Community Involvement
Football Games
The Saugus High School Band performs at all home football games, with SBPA providing refreshments and special gifts on Senior Night.
Tree Lighting Ceremony
The Middle and High School bands perform at the Saugus Tree Lighting event in December, with SBPA providing refreshments.
Memorial Day Parade
The Saugus High School band marches in the Memorial Day parade, followed by SBPA-provided refreshments.
Field Trips
SBPA provides financial support for all band-related field trips, and members can serve as chaperones.
